FREE PUBLIC SEARCH FOR LAND RECORD DOCUMENTS



These instructions describe how to access, free of charge, official documents submitted to and recorded by the County for maintenance of public record. These documents can include deeds, mortgages, notices, discharges, and all other documents relevant to property records. This method can be used on all devices with Internet access and all web browser software.

This application uses a tab structure to switch between views. The top three tabs are used to switch between the Search options (making the two lower tabs visible), the list of the Results for the most recent search, and the Document currently selected for viewing (if any).

 

Search Criteria

Click on the Search tab to show the Party, Document Type, Instrument Number, and Book/Page tabs. Depending on what information you have about the document you are looking for, you may want to search using a specific tab. After entering all required and optional criteria on the selected tab, click the blue Search button. You can also click Clear to clear the existing criteria.

·         Party Tab:  Enter the name of one of the parties on the document. The full name is not required, but the last name must go first (in the case of an individual.) It is possible to narrow down the search further by selecting document type(s) or by selecting a date range in which the document was recorded.  

·         Document Type Tab:  One or more meeting document types can be selected. If the exact codes for the document types are known, enter them separated by commas in the "Document Types" box. Another option is to use the checkboxes in the selection list to select one or more types. Type some characters in the "Search Document Types" box to narrow the selection list by showing documents with the entered text in the document type code or the name. For example, type "MORTGAGE" to list all document types pertaining to mortgages.

·         Instrument Number Tab:  The instrument number (also known as the control or file number) is a number given by the County pertaining to one specific record. If you have this information, you may search using it here.

·         Book/Page Tab:  The Book/Page numbers are given by the County pertaining to one specific record. If you have this information and wish to search by it, you must also select a book type. All modern documents are kept in the OR book, but legacy books are kept for older records. If you are uncertain which book type, the "All Books" option may be selected.

·         Search Options:  For either type of search, provide an optional Date Range (Date Received by the County Recorder) by typing From and To dates, or click the calendar icons to select the dates from a calendar. Another option is to click 7 Days, 30 Days or 90 Days as the range to use. If desired, select a multiple of 100 rows in the Limit Search option or a multiple of 25 rows in the Display Records per Page option (this option will cause a list of clickable page numbers to be shown below the search results hit list).

 

Returned Search Results

The resulting hit list will be presented on the Results tab, showing all meeting documents matching the criteria entered. Here are the ways to use the hit list: 

·         View Details:  Click View to show the document details and image on the Document tab.

·         Printing:  Click Print Results for a printer-friendly display that can be printed with your web browser's Print interface.

·         Sorting:  Click on the words in a column heading to sort the list on the contents, alternating between ascending and descending sequence on the column and the default sequence on the first column displayed.

·         Filtering:  Move the mouse to the right side of a heading and click on the icon with three horizontal lines, for a selection box to filter the hit list. Type some characters to limit the selection list to values containing those characters.

 

Document Details

When View is clicked in the hit list, details and the document image are shown on the Document tab. Use the plus and minus buttons or your mouse scroll wheel to enlarge or reduce the document in the window. Use the buttons above the image to go to the previous or next page or a specific page number; to Rotate the view by 90 degrees left or right; to Reset the view to normal.

Click PDF/Print Page or PDF/Print All Pages to create a PDF document for the current page or for all pages. For the Chrome, Firefox, Opera and Edge web browsers, a View link will shortly appear at the right of the buttons to open the PDF and print or download it with the built in interface for PDF documents. For Internet Explorer, you may see a prompt to Open or Save the file. Select Open to view the file in Abobe Acrobat Reader or another PDF viewer application. You can then Print or Save the document in that application.
